Winter Booking Rules
Bookings
- Winter booking applications from Full Members, who must be financial, shall be received on or after 1 March in any given year, and will be considered after the AGM. The Booking Officer will allocate beds from that date, in order of receipt of booking. Bookings received prior to the AGM will be collected by the Booking Officer and treated as being received at the AGM. Booking Applications from associate members are not considered until 1 April.
- In the event of excess bookings the Booking Officer will decide whom to allocate bookings to, based on Club policies.
- The number of beds available in winter is 20, plus two cots.
- All applications shall be made to the Booking Officer either using the online booking system (available only to Registered Users) or on the approved booking forms which are downloadable from this page. Phone or e-mail bookings may be accepted by the Booking Officer, but it is the responsibility of the Member to send in the completed Booking Form as soon as possible to the Booking Officer for confirmation. Confirmation by the Booking Officer is usually by email.
- Any child unaccompanied by a parent or guardian must nominate a person resident in the Lodge to be responsible. The parent/guardian must supply a signed authorisation for any medical assistance if this becomes necessary, and include a Medicare card (or number) and an emergency contact number.
- The Booking Officer decides the Room Allocation about a week before the date of booking. Preferences for Room Allocation will be considered by Booking Officer, however no guarantee is made with Bookings.
- Residents at the Lodge desirous of extending their stay, should a vacancy occur, must contact the Booking Officer, and if successful, inform the management team, and then pay balance of accommodation fees to Booking Officer.
- Bookings are taken for 5 night periods (Sun, Mon, Tues, Wed and Thurs nights) and two night periods (Fri and Sat nights) or combinations of these. Bookings for single nights are taken within one month of the proposed date of stay, should vacancies remain.
- At the discretion of the Booking Officer, an Associate member may be permitted to stay in the Lodge unaccompanied by their proposer.
- Associate members are allowed to stay at the lodge unaccompanied by a full member, but an existing full member must refer them.

Supplementary Rules - COVID
Members and guests are advised of supplementary rules applied to bookings at Illabunda Lodge (Winter and Summer) as required by our COVID-Safe Management Plan. In particular...
Dependants (e.g. children) may be listed on their carer's form.
Individuals failing to comply with this requirement will be denied access to the Lodge.

Refunds
A minimum 10% fee will apply to all cancellations up to a maximum of $50.
The booking officer's waiting list has priority over other requests.
If no replacement booking is taken up, the following refund amounts will apply:-
- 75% if booking cancelled 28 days or more prior to 1st day of stay
- 50% if booking cancelled 7 to 27 days prior
- 25% if booking cancelled 1 to 6 days prior
- Nil refund if cancelled on or after 1st day of booking

How To Apply...
Applications for bookings at Illabunda may be submitted via online forms. Full Members and those on the Waiting List are encouraged to login (using your assigned Username and Password) first so that the form will pre-complete your details automatically. All other persons can also complete and submit applications online, but they need to specify a Member to support their application.
Winter booking applications for Full Members open on 01 March each year. Applications from other people may be submitted but are not considered until 01 April.

Accommodation Rates
- The Committee shall revise winter rates and periods as necessary each year.
- Rate per night includes Lunch and Dinner on day of arrival, with Breakfast and Lunch on day of departure. Three meals per day and light refreshments are provided on all other days of stay.
- The total amount due to be paid for accommodation is due within two weeks of confirmation of booking.
- The Child Rate applies to children from newborn up to the end of secondary-school age. Children attending tertiary education are charged the Adult rate.
- Full Members must not have any outstanding Membership Levy or Annual fees due, by the time of Booking Confirmation.
- Late Arrival Weekends - Members and guests can make a booking to arrive after 8:00 pm on Friday nights. A discount of $10 will apply, but no meals will be provided on the Friday.

How To Pay...
Payment needs to be made within two weeks from receiving booking confirmation for your booking to remain valid. Payment options are:-
- Direct deposit or EFT to the Port Kembla Ski Club account at Horizon Bank (BSB: 802-124 Account No: 201195) but be sure to include your Invoice Number as a description so that your payment can be identified.
- Pay personally into the account of the Port Kembla Ski Club at any branch of the Horizon Bank. Send your deposit receipt to the Booking Officer to confirm your payment.
- By credit card, by entering the necessary details on the invoice form, when you receive it.
Note: Cheques are no longer accepted. Please pay by one of the above means.

Hard Copy Booking Applications
Hard copy booking applications are available whenever the online booking system is unavailable in both PDF and DOC formats. Download the one you need, complete it, and send it to the Booking Officer by snail-mail or email. But preferably, logon and use the online booking system.
